Security

The following security guidelines must be followed by applicants who visit the VisaMetric visa application offices. Visa applicants may not use or carry the following items within VisaMetric offices in accordance with the security requirements of the represented Diplomatic Missions:

  • Mobile phones must not be used including for taking photos and/or record audio or video;
  • All inflammable substances and sharp objects;
  • Weapons or objects similar to weapons or any explosive materials;
  • Animals (due to potential allergic reactions);
  • Sealed envelopes or packages;
  • Alcohol or alcohol containers;
  • Food and beverage;
  • Bags or suitcases larger than a cabin size suitcase.

The list includes but is not limited to the items listed above.

  • Security guards and office employees are authorized to deny access to suspicious individuals and/or to prevent the introduction in the VisaMetric visa application centers of other objects not mentioned in the list. Security guards are authorized to check bags at any stage of the visa application process;
  • For security reasons, friends, relatives or business contacts accompanying visa applicants may not enter the application center (Only the applicant or the person applying on behalf of the applicant may enter VisaMetric offices.). Only one person shall be accepted to accompany physically handicapped applicants or illiterate applicants;
  • Applicants may not enter areas other than common visitors areas within VisaMetric offices such as personnel working areas, toilets, etc.;
  • The VisaMetric offices do not provide any designated areas to store the items mentioned above. Applicants are kindly requested to find alternative ways to store these items before entering the visa application centers;
  • VisaMetric offices are monitored by cameras on a 7/24 basis as per our security policy.

Privacy and Personal Data Processing Policy

This Privacy and Personal Data Processing Policy (hereinafter – the Privacy Policy, the Policy) has been developed by Visametric LLC. It is based on Federal Law No. 152-FZ of the Russian Federation dated July 27, 2006, REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR), and other regulatory legal acts of the Russian Federation. The Policy defines the procedure for processing information regarding an individual (hereinafter referred to as the "User") in connection with the use of the website https://www.visametric.com/Russia/Germany/ru (hereinafter referred to as the "Website") and the ordering of Services.

1. DEFINITIONS

• Personal data operator – Visametric LLC (INN 7706462708, OGRN 1187746982279; address: Russian Federation, 129090, Moscow, Meshchansky Municipal District, Prospekt Mira, 40, premises 3/1), which organizes and carries out the processing of personal data, either independently or jointly with engaged third parties.
• User – an individual, a data subject, using the Website.
• Parties – the User and the Personal data operator (Visametric LLC).
• Personal Data – any information relating to a User who is identified or identifiable, directly or indirectly.
• Technical Data – anonymized information automatically transmitted by the User’s device (IP address; cookies—small text files saved on the User’s device when visiting the Website that allow the system to recognize the User’s browser, remember settings, and collect anonymized statistics; browser type; access time; referrer).
• Processing of Personal Data – any action involving personal data, including but not limited to collection, recording, systematization, accumulation, storage, updating, retrieval, use, transfer, anonymization, blocking, deletion, and destruction.
• Services – Visametric LLC’s services regarding online appointment scheduling at Visametric LLC’s offices and the collection of a service fee under the Public Offer Agreement.
• Public Offer Agreement (Offer) – an agreement concluded between Visametric LLC and the User through the User’s acceptance of the Offer via the Website when ordering Services.
• Order – a properly submitted request by the User (Acceptance) to reserve a date and time for the submission of documents selected on the Website.

2. GENERAL PROVISIONS

2.1. Use of the Website by the User and the provision of personal data when completing a questionnaire or application constitute acceptance of the Privacy Policy and the terms governing the processing of the User's personal data.
2.2. If the User does not agree to the terms of the Policy, the User must cease using the relevant section of the Website and refrain from accepting the Public Offer Agreement.
2.3. The Privacy Policy applies exclusively to this Website. Visametric LLC does not control and bears no responsibility for third-party websites that the User may access via links.
2.4. Visametric LLC does not verify the accuracy of the personal data provided by the User and proceeds on the assumption that the User provides accurate personal data and keeps such data up to date. The User bears responsibility and any potential consequences for providing inaccurate or outdated personal data.

3. CATEGORIES OF PERSONAL DATA PROCESSED

3.1. Personal data authorized for processing under the Policy may include the following information:
3.1.1. surname, first name, patronymic, gender, date and place of birth, citizenship, marital status;
3.1.2. contact telephone numbers and email address;
3.1.3. addresses of registration (official residence) and actual residence;
3.1.4. individual identification number;
3.1.5. series, number, date of issue, place of issue, issuing authority, and validity period of domestic and international passports;
3.1.6. trip details (departure and return dates);
3.1.7. biometric personal data: - facial photograph (digital photograph); - fingerprints, other biometric personal data required to conclude a service agreement;
3.1.8. information about previous trips and visa history, previously issued foreign passports;
3.1.9. information about employment (place of work, position, employer's address, employer's contact phone number) or place of study;
3.1.10. information about education;
3.1.11. information about income;
3.1.12. information about medical insurance policy for those traveling abroad;
3.1.13. birth certificate details;
3.1.14. bank details;
3.1.15. information about the inviting party (if applicable) (name or first name, surname, patronymic, country, city of location, address, contact telephone number);
3.1.16. if the services are being arranged for a minor: the surname, first name, patronymic, citizenship, and registered address of the legal representative;
3.1.17. other information obtained by Visametric LLC as a result of the User’s use of the Website or necessary for the conclusion of the service provision agreement.
3.2. Visametric LLC processes Technical Data, including cookies. Disabling cookies by the User may restrict access to secure sections of the Website, including rendering it impossible to place an order for Services.
3.3. Visametric LLC may collect statistics regarding Users' IP addresses. This information is used to identify and resolve technical issues.

4. PURPOSES OF PERSONAL DATA PROCESSING

4.1. Visametric LLC processes the User’s personal data for the following purposes:
4.1.1. identifying the User for the purpose of concluding the Public Offer Agreement and/or providing services;
4.1.2. granting the User access to the online booking service, enabling the ordering of Services, and allowing for the tracking of application status;
4.1.3. sending notifications and requests, processing requests and applications from the User, and providing feedback and technical support;
4.1.4. providing Services and monitoring the progress of Service provision;
4.1.5. processing, receiving, and disputing payments;
4.1.6. improving the quality of the Website’s operation based on the analysis of Technical Data;
4.1.7. transmitting of the set of documents to the relevant diplomatic missions (Embassy/Consulate of the Federal Republic of Germany) for consideration of the visa application.
4.2. The User’s Personal Data may be obtained through any form of communication with Visametric LLC, as well as during registration and/or the entry of information about oneself on the Website while using the Website’s functionality and/or placing an order for Services, or when filling out questionnaires or other registration forms.

5. METHODS AND TIMEFRAMES FOR PERSONAL DATA PROCESSING

5.1. Personal data are processed using automated and non-automated means until the purposes of processing specified in the Policy are achieved or until the User’s Consent is withdrawn, unless otherwise provided by the legislation of the Russian Federation.
5.2. Visametric LLC ensures the initial collection, recording, systematization, accumulation, storage, and updating of personal data of personal data subjects using databases located strictly within the territory of the Russian Federation.
5.3. Visametric LLC is entitled to transfer personal data to third parties, including but not limited to: courier services, postal service providers, and other counterparties of Visametric LLC, within the scope of the concluded Public Offer Agreement and/or the service provision agreement concluded between the Parties, as well as for the purpose of complying with the requirements of the legislation of the Russian Federation.
5.4. The User’s personal data may be transferred to authorized state authorities of the Russian Federation only on the grounds and in the manner established by the legislation of the Russian Federation.
5.5. Cross-border data transfer: for the purpose of fulfilling the service agreement and processing entry documents (visas)—in the event that the Parties conclude a service agreement— Visametric LLC carries out the cross-border transfer of the User’s personal data to the diplomatic missions of the Federal Republic of Germany. Visametric LLC guarantees that the transfer is conducted in accordance with the requirements of Article 12 of Federal Law No. 152-FZ and Chapter V of the GDPR, ensuring adequate data protection on the recipient's side.
5.6. The User has the right to withdraw their consent to the processing of personal data by sending a notification to Visametric LLC via email at info.moscow@visametric.com with the subject line "Withdrawal of consent to the processing of personal data." In the event of such withdrawal, the User acknowledges and agrees that the provision of Services by the Visametric LLC becomes impossible, and the User bears full responsibility for such withdrawal.
5.7. To ensure the security and protection of personal data, Visametric LLC implements a set of legal, organizational, and technical measures (including encryption, restricting employee access, and appointing responsible persons) in accordance with Article 19 of Federal Law No. 152-FZ and Article 32 of the GDPR.

6. OBLIGATIONS OF THE PARTIES

6.1. The User shall:
6.1.1. Provide up-to-date personal data requested by the Website when using it to order a Service.
6.1.2. In the event that the User provides personal data of third parties, the User guarantees and confirms that they have obtained duly executed consent from such persons for the processing and transfer of their personal data to the User and subsequently to Visametric LLC for the purposes set forth in this Policy and the applicable legislation of the Russian Federation.
6.2. Visametric LLC shall:
6.2.1. Use personal data exclusively for the purposes stated in the Policy.
6.2.2. Use personal data in accordance with the legislation of the Russian Federation and solely for the stated purposes; keep such data confidential; and immediately block the data for the duration of an investigation upon detecting inaccuracies or unlawful actions.
6.2.3. Take precautionary measures to protect the confidentiality of the User's personal data in accordance with the legislation of the Russian Federation.

7. LIABILITY OF THE PARTIES

7.1. Visametric LLC shall not be liable for the loss or disclosure of Confidential Information if such Confidential Information:
7.1.1. Entered the public domain prior to its loss or disclosure.
7.1.2. Was received from a third party prior to its receipt by Visametric LLC.
7.1.3. It was disclosed with the User’s consent and at the User’s initiative.
7.1.4. Visametric LLC does not verify the accuracy or currency of the Personal Data provided by the User and bears no liability for any inaccuracy or outdated nature thereof. If the User provides Personal Data that does not belong to them, the User shall be solely liable to the actual owner of such Personal Data, and Visametric LLC shall bear no liability for actions related to the processing of such Personal Data.
7.1.5. Although Visametric LLC takes all necessary measures to protect personal data, it cannot prevent fraudulent attacks, data recording system errors, earthquakes, floods, fires, or other force majeure events, and bears no liability for damage caused to personal data subjects as a result of such force majeure events.

8. DISPUTE RESOLUTION

8.1. All disputes and disagreements shall be resolved by the Parties through negotiations. In the event that such disputes cannot be resolved through negotiations, they shall be submitted to a court for resolution in accordance with the legislation of the Russian Federation, subject to mandatory compliance with the pre-trial claim procedure. The time limit for responding to a claim is 10 (ten) working days.

9. ADDITIONAL TERMS AND CONDITIONS

9.1. The legislation of the Russian Federation applies to the relationship between the Parties. The GDPR applies to matters governed by international obligations and the protection of data subject rights within the territory of the European Union.
9.2. Visametric LLC reserves the right to amend the Policy without the User's consent. The User is responsible for independently monitoring changes to the Policy on Visametric LLC 's Website in the "Privacy and Personal Data Processing Policy" section. For its part, Visametric LLC ensures that every data subject has the opportunity to review documents and materials containing their personal data, unless otherwise provided by law.
9.3. The Privacy Policy enters into force upon its publication on the Website, unless otherwise provided for in a new version of the Policy. The current Privacy Policy is available on the Website in the "Privacy and Personal Data Processing Policy" section.
